When schools compare school management systems, the conversation usually focuses on features and price. Security is often an afterthought, even though the system will hold every student's personal data and every rupee of fee collection.
Here are ten questions to ask any vendor.
1. Is each school's data kept separate?
In multi-school (SaaS) platforms, your data must be strictly separated from other schools. Ask how the platform ensures that users of one school can never see another school's data.
2. Is the connection encrypted?
The application should always run on HTTPS. Check for the padlock in the browser address bar on login and payment pages.
3. Does it support role-based access?
You should be able to create roles such as accountant, teacher and admission officer, with different permissions. Avoid systems where every user can see everything.
4. Are important actions logged?
Fee changes, payment voids, deletions and permission changes should record who did them and when. An audit trail is essential for accountability.
5. How are passwords handled?
Passwords should be stored securely (never in plain text), and the system should support password resets and, ideally, two-step verification.
6. How are online payments handled?
Fees should be collected through a recognised payment gateway, into the school's own merchant account. Ask whether the software ever collects school fees into a shared or vendor account. It should not.
7. How often is data backed up?
Ask about backup frequency, storage location and how quickly data can be restored.
8. Who owns the data?
The school should own its data. Ask whether you can export your records, and what happens to your data if you stop using the service.
9. Are updates and fixes applied regularly?
Software that is not updated becomes vulnerable over time. Ask how often the platform is updated and how security issues are handled.
10. Is there a clear privacy policy and agreement?
A professional vendor should provide a privacy policy and a service agreement explaining how data is processed and protected.
Red flags
- Shared logins recommended "to keep it simple"
- No HTTPS on login pages
- Vague answers about backups or data ownership
- Fees collected into the vendor's account
- No way to export your own data
