Every new academic session needs some setup: new sections, changed subjects, promoted students and new teachers. Getting it right at the start avoids weeks of corrections later.
1. Create the new academic session
Set the session dates, for example April to March. Keeping data organised by session makes it easy to look back at previous years without mixing records.
2. Review classes and sections
- Add new sections where admissions have increased
- Merge or close sections with low strength
- Confirm the maximum strength per section
3. Set up subjects for each class
Subjects can change between classes and sessions, for example new electives in Class 9 or stream subjects in Class 11. For each class, confirm:
- Compulsory subjects
- Elective or optional subjects
- Subject codes, if required by your board
4. Assign class teachers and subject teachers
Assign a class teacher to every section and a subject teacher to every subject in every section. This determines who can mark attendance and enter marks.
5. Promote students
Promote students from the previous session to the next class. Handle exceptions:
- Students who are not promoted
- Students who have left (issue transfer certificates)
- Section changes
Promotion in software should carry forward student profiles, parent links and history, so nothing needs to be re-entered.
6. Add new admissions
Make sure all new students admitted for the session are added to the correct class and section, with parent logins created.
7. Update fee structures
Set up fee structures for the new session, class by class, including any fee revision. Confirm concessions that carry forward.
8. Update transport
Review routes, stops and fares. Assign new students to stops, end transport for students who no longer use it and confirm changes for existing students.
9. Publish timetables
Once classes, subjects and teachers are set, publish the timetable for each class and teacher.
10. Inform parents
Share the new class, section, class teacher, timetable, fee schedule and transport details with parents through the school app.
