Schools invest in software but often underinvest in training. The result is that a few staff use the system well while others avoid it or work around it. A simple training plan changes that.
Step 1: Understand comfort levels
Staff vary widely, from teachers who use apps all day to colleagues who rarely use a smartphone beyond calls. A quick, friendly survey helps you plan:
- Do you use a smartphone daily?
- Are you comfortable using apps and websites?
- Which tasks would you like help with?
Step 2: Train by role
Do not train everyone on everything. Focus on what each person does:
- Teachers – attendance, homework, marks entry, messages
- Office staff – admissions, student records, certificates
- Accounts – fee generation, payments, receipts, reports
- Coordinators and principal – dashboards, approvals, reports
Step 3: Keep sessions short and practical
- 30–45 minute sessions
- Small groups
- Everyone does the task on their own device
- Real tasks from their daily work
Step 4: Create simple guides
Short step-by-step guides with screenshots for the most common tasks help staff when they forget. Short videos work well too.
Step 5: Appoint digital champions
Identify a few enthusiastic staff in each department. Train them in more depth and let colleagues ask them for help. Peer support is often more comfortable than asking the administrator.
Step 6: Support during the first weeks
Expect questions in the first few weeks of using a new system. Have a helpdesk time or a point person available daily.
Step 7: Refresh regularly
- Run short refreshers at the start of each session
- Train new joiners as part of onboarding
- Share tips when new features are added
Be patient and positive
Some staff may feel anxious about technology. Avoid criticism, celebrate progress and emphasise how tools make their work easier.
Summary
Understand comfort levels, train by role in short practical sessions, provide guides and champions, support early use and refresh regularly. Confident staff make digital tools succeed.
