Many schools still charge one flat transport fee for every student. It is simple, but parents living close to school often feel they are paying for others, and the school may undercharge for long routes.
Stop-wise fares solve this by linking the fee to where the student boards the bus.
How stop-wise fares work
- Every bus stop has a monthly fare
- Each transport student is assigned to a stop
- The monthly transport fee is the fare of that stop
- If needed, a student can have a special fare that overrides the stop fare, for example for staff wards or approved concessions
Benefits
Fairness
Parents pay in proportion to the distance travelled. This is easy to explain and reduces complaints.
Accurate costing
Longer routes cost more in fuel and time. Stop-wise fares reflect this, so transport finances are more sustainable.
Easier changes
When a family moves, simply change the student's stop. The new fare applies from the next billing month.
Setting stop fares
A practical approach:
- Group stops into distance bands, for example 0–3 km, 3–6 km, 6–10 km and 10+ km
- Set a monthly fare for each band
- Apply the band fare to each stop in that band
Bands keep the number of different fares manageable while still being fair.
Handling exceptions with special fares
Some students need a different amount:
- Children of staff members
- Siblings, if your concession policy includes transport
- Students with approved financial support
Record a special fare on the student's transport assignment instead of editing invoices by hand. It will then apply automatically every month.
Billing only for the months used
Transport fees should be charged only while the student is assigned to transport. When a student starts or stops using the bus, record the start or end date of the assignment. Monthly fee generation then includes transport only for students who are active in that month.
Avoid double charging
If your class fee structure already includes a transport head, do not add stop-wise fares on top. Choose one approach per class and keep it consistent.
Communicate clearly
Share the stop list with fares at admission and whenever fares change. Show the transport fee as a separate line on invoices so parents can see exactly what they are paying for.
Summary
Stop-wise transport fees are fairer for parents, more sustainable for schools and simple to manage when stops, assignments and fee generation are connected in one system.
